Automated Assistant

The desk work and the phones, handled.

One assistant covering both halves of your front desk. It sorts the email and drafts the replies, reads the invoices, writes the proposals, and keeps the calendar straight, then answers every call on the first ring and books the job, nights and weekends included.

The desk work

The paperwork it takes off your plate.

More on the admin side

Admin and phone used to be two services. They are one now, because they do one job: the work a front desk does when you are out on a job.

Email & inbox

It reads your inbox, sorts what matters, and drafts replies to routine messages so you just glance and send.

Invoices & expenses

It scans invoices, receipts, and documents and pulls out the details, amounts, dates, names, so you never re-type them.

Proposals & documents

The quotes, letters, and forms you write again and again, drafted in seconds, ready for a quick check before they go out.

Calendar & scheduling

It books appointments, sends reminders, and keeps your calendar tidy, so you stop playing phone tag and never double-book.

Spreadsheets & reports

Tell it what you need and it builds the spreadsheet or report, totals, summaries, and the weekly numbers you’d otherwise type by hand.

Repetitive tasks

Whatever you do over and over, copying, sorting, formatting, looking things up, we set the assistant up to handle it.

The phones

What happens on every call.

Hear it answer a call

The other half of the same assistant, answering like your best front-desk hire and running the same playbook every time.

01

Answers instantly

Picks up on the first ring, day or night, 2 AM furnace failures, Sunday outages, and every call that lands while your team is slammed.

02

Finds out what they need

Identifies whether it’s an emergency, a repair, a tune-up, or an estimate request. Urgent safety calls get handled first.

03

Books the job

Collects name, number, address, and issue, then books around your live calendar. No double-bookings.

04

Sends you the details

Every call ends with a clear written summary, sent to your customer list, ServiceTitan, Jobber, or a simple email or text.

Live demo

Talk to Jessie.

Call our demo line and she answers like the front desk of a fictional Denver HVAC company. Ask about a repair, an emergency, or a booking, she handles it.

Coverage

The calls you actually get.

Trained per trade, HVAC, plumbing, electrical, roofing, garage doors, on your service area, pricing rules, and booking windows.

After-hours & emergencies

Flags urgent calls and handles them first with safety-first guidance. You set what counts as an emergency and who gets called, no per-call answering service.

Overflow & busy hours

When every tech is out and the office line keeps ringing, the agent catches what your team can’t. No hold music, no lost leads.

Pricing guardrails

The agent never quotes prices it shouldn’t. It shares only what you allow, diagnostic fee, free estimates, and books the visit.

Missed-call backstop

Your phone rings first. Any call you can’t grab rolls to the agent instead of voicemail, so it becomes your safety net.

Starting from $1,899 for both halves, scoped to your call volume, integrations, and how much you hand over.See pricing

FAQ

Automated Assistant FAQ

What does the Automated Assistant actually do?

Two jobs, one service. On the desk side it triages your inbox and drafts the routine replies, builds spreadsheets and reports, reads invoices and receipts so nothing gets re-typed, drafts the proposals and letters you send over and over, and keeps your calendar tidy. On the phone side it answers every call around the clock, finds out what the caller needs, and books the job against your live calendar. Admin and phone used to be sold separately; they’re one service now.

Can I get only the admin half, or only the phones?

We build what your business actually needs, and plenty of setups lean heavily one way. But it’s scoped and priced as one service rather than two, because both halves share the same calendar, the same customer list, and the same setup work. A call that books a job and an email that confirms it are the same job done twice if you split them.

Do I need any tech skills to use it?

None. We handle the whole setup, then walk you through it in plain English using your real work. Most clients are comfortable the same day, and every setup includes 30 days of support if questions come up.

Will callers know it’s an AI?

Most won’t ask. If they do, the agent answers honestly and keeps helping. Transparency settings are fully configurable to your preference and local regulations.

What happens with emergencies?

You decide what counts as an emergency and who gets called. Safety issues, a gas smell, a CO alarm, trigger guidance to call 911 or the utility first. True emergencies ring your on-call tech or fire an instant SMS alert.

Does it integrate with our scheduling software?

Yes. Agents connect to ServiceTitan, Jobber, Housecall Pro, Google Calendar, and most customer software. The agent reads your team’s real availability, existing jobs, meetings, blocked time, and books around it automatically.

How fast can it be up and running?

Usually live within a week. We train the agent on your services, service area, pricing rules, and booking windows, then test it with you on real call scenarios before it answers a single customer.

Does it replace my office staff?

No, it backs them up, after hours, on weekends, and during overflow when every line is busy. Your team keeps the complex conversations, and the agent can hand a caller to a human at any point.

Can it use my existing business number?

Yes. Your number stays exactly as it is. Calls forward to the agent after hours, during overflow, or full-time, whichever you choose, and you can change the rules anytime.

Can it answer only the calls I miss?

Yes, one of the most popular setups. Your phone rings first, and if you don’t pick up, on a job, on the other line, after hours, the call rolls to the AI instead of voicemail. You stay the front line; the agent is your safety net.

Can it cover both my office line and my cell?

Yes. One agent stands behind as many lines as you need, in a single setup. Each number can greet callers differently, and every line lands in the same place: booked appointments and clean call summaries.

What happens if it can’t answer a question?

It never invents an answer. The agent says your team will confirm, takes the caller’s details, and flags the call for follow-up, so a hard question becomes a captured lead, not a guess.

What does the Automated Assistant cost?

Setup starts from $1,899 and covers both halves, the desk work and the phones. It’s a starting price, not a flat one: the final number scales with call volume, how many integrations you need, and how much work you hand over. You own the setup, there’s no required subscription, and Monthly Management is optional and separate. Book a free call for an exact quote.
